Job Description:

The Patient Coordinator is the architect of the patient experience. You are the first impression and the lasting memory of Miami Skin + Vein for every patient who comes through our doors. This role requires someone who can manage the logistics of a high-volume medical schedule while making every patient feel unhurried and valued. You will be the central communication hub, ensuring the front-of-house operations run with the precision of the clinical back-of-house.

The Ideal Candidate:

We are seeking a reliable, detail-oriented professional with a positive disposition. You must thrive in a fast-paced boutique setting and possess the emotional intelligence to anticipate patient needs before they are voiced.

Essential Skills & Qualifications:

  • Bilingual Fluency: Excellent verbal and written communication in English and Spanish.
  • Experience: Prior experience in a private dermatology or plastic surgery clinic is preferred.
  • Character: Entrepreneurial spirit, strong attendance record, and a passion for aesthetics.
  • Education: Associate degree preferred.

Key Responsibilities:

  • Concierge Reception: Greet all visitors warmly and manage check-in/check-out procedures efficiently.
  • Communication Hub: Sort and respond to emails, calls, and Klara (text) messages promptly.
  • Schedule Optimization: Manage the appointment book based on patient needs; maintain waiting lists to minimize gaps.
  • Patient Flow: Coordinate with clinical staff to ensure providers are aware of arrivals/delays; manage the recall list to ensure patient follow-up.
  • Operational Support: Process deliveries, maintain inventory of office supplies, and ensure the waiting area remains immaculate.
  • Records Management: Update patient histories, scan identification/records, and strictly protect patient confidentiality (HIPAA).

Compensation & Benefits:

  • Pay: $24.00 – $30.00 per hour
  • Job Type: Full-time (40–45 hours per week)

Job Description:

This is a hybrid "Flex" role designed for a versatile professional who understands the full ecosystem of a medical practice. You will serve as the right hand to Dr. Shaun Patel, transitioning seamlessly between clinical assistance and administrative coordination. This position is ideal for an experienced candidate who values continuity of care and wants to see the patient journey from the initial phone call to the treatment room.

The Ideal Candidate:

You must be willing to work in both the front and back office. We require a team player who values customer service as much as clinical safety. You are organized, quick to learn, and looking for a long-term role in a center of excellence.

Essential Skills & Qualifications:

  • Experience: 12 months of experience in dermatology or plastic surgery (private clinic setting) is preferred.
  • Certification: A Certified Medical Assistant license is preferred.
  • Attributes: High energy, reliable, detail-oriented, and able to work independently.

Key Responsibilities (Clinical):

  • Provider Support: Assist Dr. Patel with cosmetic injections, laser treatments, and minor procedures.
  • Patient Prep: Take medical histories, prepare patients for exams, and capture standard-of-care before/after photography.
  • Education: Explain treatment protocols, instruct patients on medications/aftercare, and authorize refills as directed.

Key Responsibilities (Administrative/Front Desk):

  • Reception & Scheduling: Greet patients, manage check-in/out, and optimize the clinic schedule.
  • Communication: Handle calls, emails, and Klara messages; conduct follow-up calls to ensure patient satisfaction.
  • Records: Update patient forms and questionnaires; protect health information.
  • Inventory: Monitor clinical and office supplies; alert management of ordering needs.

Compensation & Benefits:

  • Pay: $24.00 – $30.00 per hour
  • Job Type: Full-time (Monday–Friday, 8:30 am – 5:00 pm)
